Morgan, Lewis & Bockius LLP, one of the world’s leading global law firms with more than 4,000 lawyers and staff in 31 offices is seeking an Administrative Support Manager for our San Francisco office. Reporting to the Director of Administration, this position is responsible for providing lawyers, clients, and other legal personnel with highly skilled, client-service focused support teams through the management of the administrative and reception staff and related functions in an efficient and cost-effective manner.
In partnership with the Director of Administration and human resources, responsibilities include workflow management, resource allocation, training and development, performance management, employee relations, evaluation and compensation, and adherence to personnel policies and procedures for direct reports.
Candidates must have strong leadership, organizational, and problem-solving skills, and have a proactive approach and positive attitude. The ideal candidate must be a self-motivated, high-energy, and results-oriented individual who can establish trust and credibility quickly and be an effective team player. Experience in a mid-large size law firm is strongly preferred.
High levels of discretion, responsiveness, and initiative are also needed. Flexibility with working hours, including nights and weekends, is required. This role may also require occasional interoffice travel.
Key responsibilities of this position include:
Develops and implements staffing plans; manages administrative support assignments
Works with office management and practice group leaders to develop staffing configurations consistent with workflow and support requirements of practice group and office
Maintains master administrative schedule; manages desk coverage and overflow requirements to ensure effective delivery of services and utilization of staff including coverage for after hours and weekend work, closings, off-site assistance for trial support and special projects
Facilitates training and provides development opportunities
Monitors administrative staff ratios; in partnership with Director of Administration, works to ensure compliance with firm’s ratio targets; prepares monthly ratio reports
Works with practice group leaders on office logistics to provide the most effective support for lawyers while maximizing use of administrative staff
Oversight and execution of team and office employee events
Establishes/adheres to department budget; seeks opportunities to improve department efficiency and reduce expenses by streamlining operations.
Organizes and conducts administrative seminars and general meetings
Manages the annual administrative and reception staff evaluation and compensation process
Experience and Qualifications:
Bachelor’s degree (B. A.) from a four-year college or university, and
Seven (7) years of progressively responsible, directly related experience in a leadership role with at least three (3) years in a supervisory role or, equivalent combination of education and experience
Prior secretarial or paralegal experience at a law firm preferred
Strong interpersonal skills including demonstrated ability to build effective relationships with a wide range of individuals with differing opinions and diverse personalities, including partners and other lawyers, executives, all levels of employees across the firm, clients, and vendors
Ability to work comfortably in a matrix organization
Strong client service orientation and dedication to high-quality work
Demonstrated ability to handle confidential information appropriately
Demonstrated ability to take initiative, anticipate needs, and exercise independent, sound judgment
Proven ability to prioritize work, adapt to changes, and handle multiple projects simultaneously in an extremely fast-paced, constantly evolving environment
Ability to define problems, collect data, establish facts, draw conclusions
Proficiency is required in Microsoft Office and related add-ins, document management systems, Nuance, SharePoint, and InterAction
Experience implementing skills-based and other developmental training programs is a plus
